Job Summary:

Responsible for maintaining solid customer relationships by handling their orders, questions, quotes, and concerns with speed & professionalism. Performs data entry and controls all aspects of an order in an organized and detailed manner. Requires research skills to troubleshoot customer problems.

Essential Duties and Responsibilities:

  • Complete daily log of orders received via email, fax and phone. Prioritize & batch material for data entry.
  • Print all email and faxed orders.
  • Investigate customer complaints and provide order status such and tracking information.
  • Check orders for accuracy.
  • Back-up label printer and front Receptionist when needed.
  • Process and track all logoed mat orders / check Syspro against log sheet. Reviews all orders for accuracy.
  • Composes order acknowledgements for every order. Receive and place phone calls.
  • Process credit card transactions for credit card orders.
  • Maintain customer accounts and special requirements including accurate files and notes in Syspro system.
  • Process credits, CCR's, RMA's etc. as needed.
  • Research and document customer complaints through proper CCR process. Logistical processing of customer orders, which may include coordination with sales, warehouse, and logistics employees.
  • Enter sample orders in a timely manner.
  • Check and utilize ACT database for important customer notes and special pricing quotes as needed.
  • Check suspense report.
  • Aide in freight investigations, bill only invoices etc.
  • Other duties as assigned including back-up CSR department. Supervisory Responsibilities

Education and/or Experience

One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations

While performing the duties of this Job, the employee is regularly required to sit. The employee is frequently required to talk or hear. The employee is occasionally required to use hands to finger, handle, or feel and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds. Other Skills and Abilities

Must possess good working knowledge of Microsoft applications including Word and Excel. Be capable of high volume data entry, have the ability to multi-task and have excellent communication skills both verbal and written.
